How to: Use tasks in Gmail

Inside Gmail there is a very handy, integrated tasks-feature which will let you keep tracks of things you need to do, convert emails into tasks directly and also add the full tasks functionality to your iPhone in form of a bookmark (with neat icon!) which you can access right from your homescreen. Here is how to do it:

1. First, how to convert emails into tasks. Let’s say, you just received an email where someone asks you to do something for them. Open that email.

2. Go to “more actions” and choose “Add to Tasks“:

3. The tasks-window will pop up looking like this. Here you can add new tasks by pressing the “+” icon and entering a name:

Click on the arrow icon to the right of the task to add notes or due dates. Typing a date ahead of your task’s name will also schedule the task as Gmail will extract it automatically and set it as due date.

Scheduled tasks appear inside your Google Calendar. Dragging your tasks around within your calender will update the due dates inside the task list as well.

4. The trash icon allows you to delete tasks that are selected. The list icon next to it will open a window where you can chose to rename your current list, delete and refresh it, create new lists and switch between them:

5. After clicking on the actions-menu button you’ll be able to reorder your list, clear completed tasks, email and print your task-lists (e.g. a shopping list).

6. You can always bring back the tasks window by clicking on the “Tasks” link inside the sidebar to the left:
